How the numbers add up

  1. Each task is its own labour line, so the customer sees where the 3.5 hours went instead of one lump.
  2. Materials are billed separately from labour. In this example only materials are taxed — whether labour is taxable depends on your state, so check before you copy the setup.
  3. The trip charge covers driving and parts-store time. Showing it as its own line is easier to explain than padding the hourly rate.

What to put on a handyman invoice

Keep it to what the customer needs to pay you and what you need for your records:

  • Your business name, phone and email (and licence number if your state requires one for the work).
  • Invoice number and date. Numbering in sequence (INV-0001, INV-0002 …) makes tax time easier.
  • The customer’s name and the job address — handyman customers often own more than one property.
  • One line per task, with hours and rate, then materials, then any trip or minimum charge.
  • Tax (if it applies in your state), total, any deposit already paid, and the balance due.
  • How to pay you and when payment is due.

Hourly, flat rate or minimum charge?

Hourly works for repairs where you can’t see the problem until the wall is open. Flat rate works for jobs you’ve done dozens of times — hanging a TV, swapping a faucet — and customers like knowing the price up front.

A minimum charge (for example, the first hour) protects you on five-minute jobs that still cost you the drive. If you use one, put it on the invoice as its own line so it doesn’t look like a padded hour.

Materials: at cost or with a markup?

Many handymen add a markup on materials to cover the time spent buying, picking up and returning parts. Whatever you choose, be consistent and keep receipts — customers sometimes ask to see them, and you’ll need them for your own books.

If the customer supplied the part, add a zero-price line saying so. It records that the part wasn’t yours if it fails later.

Questions and answers.

Is this handyman invoice template really free?

Yes. Fill it in on this page and download a PDF. There’s no account and nothing to install, and your details stay in your browser.

Should I charge sales tax on handyman labour?

It depends on your state, and sometimes on the type of work (repair vs. improvement). Materials are taxable in most states that have a sales tax. Check your state’s department of revenue — the template lets you mark each line as taxable or not.

How do I invoice several small jobs at one address?

Put each task on its own labour line with its own hours, then list materials underneath. Customers pay faster when they can see what each part of the visit cost.

Can I turn an estimate into an invoice?

Yes — switch the document type at the top of the generator from Estimate to Invoice. Your line items stay, and the number changes from EST- to INV-.

When should I send the invoice?

Before you leave the job, if you can. The longer you wait, the longer you wait to get paid. That’s the whole idea behind the NailQuote iPhone app: say the job, send it from the driveway.
