Cleaning invoice template.

Cleaning is billed differently from most trades: repeat visits, add-ons, and the occasional lockout or late cancellation. This template handles a month of recurring visits or a one-off deep clean.

How the numbers add up

  1. One invoice per month for recurring clients means fewer payment requests, and the client sees every visit with its date.
  2. The deep clean is priced separately because first visits take longer. Saying so up front avoids surprises.
  3. The recurring discount is applied to the whole invoice. The cancellation fee is listed with its date, so it points to an agreed policy rather than looking arbitrary.
  4. Tax is set to 0% here. Some states tax cleaning services and some don’t, so check yours before you set the rate.

Per visit, per room or per hour?

Per-visit pricing based on bedrooms and bathrooms is the easiest for homeowners to understand and compare. Hourly pricing protects you on homes that are messier than described, but customers can’t predict the bill. A common middle ground is a flat price per visit, plus listed add-ons.

Add-ons to list separately

Anything outside your standard checklist should be its own line, so the standard price stays comparable:

  • Inside oven, inside fridge, inside cabinets
  • Interior windows, blinds, baseboards (detail)
  • Laundry, dishes, bed linen change
  • Move-in / move-out cleans (often priced like a deep clean)
  • Pet hair surcharge, if you charge one

Recurring clients: one invoice a month

For weekly or biweekly clients, one invoice per month that lists each visit date is easier for both sides than one invoice per visit. Put your cancellation and lockout policy in the notes, and charge it as a dated line when it applies.

Questions and answers.

What should a house cleaning invoice include?

Your business details, the client and address, an invoice number and date, each visit with its date and price, any add-ons, discounts, tax if it applies, the total, and how and when to pay.

Do cleaning businesses charge sales tax?

Some states tax residential or commercial cleaning services and others don’t. Check with your state’s department of revenue. The generator lets you set the rate and mark each line taxable or not.

How do I invoice a recurring cleaning client?

Send one invoice per month. List each visit date as a line (or one line with the quantity of visits), then add-ons with their dates. Clients pay one bill and can check it against their calendar.

Should I charge a cancellation fee?

Many cleaners do for same-day cancellations or lockouts, because the slot can’t be refilled. Put the policy in your service agreement and in the invoice notes before you ever charge it.
